Setting up the Email Configuration
ESC allows you to email statements, invoices and purchase orders in PDF form directly from the system, allowing you to send electronic copies of these forms to customers or vendors immediately. In addition, you have the ability to add additional attachments to the email, so that anything from images to spreadsheets to documents can be sent in the same email. The PDF form can be viewed in Adobe Acrobat or the Acrobat Reader, which is available for free on the Internet from the Adobe website (http://www.adobe.com/products/acrobat/readermain.html).
In order to begin emailing from the system, the information from your internet service provider needs to be entered into ESC. In the Company, System Setup screen, first choose the Company Information option. The following fields will need to be entered:
• SMTP Server: This field is for your SMTP information which is provided by your internet service provider. This field is very important, as this connects to your email server from your provider.
• SMTP Login: The login name for your SMTP server is also given to you by your internet provider.
• SMTP Password: The password used to access your SMTP information, again available from your internet service provider.
Once complete, choose the Setup Email Forms option in the System Setup screen. Enter information in the following fields:
• Invoice Forms - Email Display Name: This is the name that will display on the invoice email when it is sent to the customer.
• Invoice Forms - Return Email Address: This address will automatically appear in the From field of invoice emails, unless overridden by the template used. Templates are discussed in further detail later.
• Purchase Order Forms - Email Display Name: This is the name that will display on the purchase order email when it is sent to the vendor.
• Purchase Order Forms - Return Email Address: This address will automatically appear in the From field of all purchase order emails, unless overridden by the template used.
Once these fields are set up properly, you can begin emailing invoices and purchase orders from the system.
