Post Schedule to Dispatch screen

This screen is used to create dispatches based upon the Tasks entered from the Enter Service Agreements screen.  The dispatches can then be assigned from the Electronic Dispatch Board whenever desired.  This should be run at least once a month to ensure all service agreements are properly serviced. It can be run an unlimited number of times in a single month without duplicating dispatches, so there is no harm in posting more frequently.

Post Service Agreement Dispatches

Set the following fields to reflect the dispatches you want to create then click OK.

Post All Agreements Through

Enter a date here. This will create dispatches for any agreements that have Next Service Date on or before this date.

Service Agreement Type

This field can be used to only create dispatches for certain types of service agreements.

Example: To post your RED agreements first, put that type in this field. Later on in the month you could post your WHT followed by your BLU agreements. This way customers that are paying for special service get it.

Task

This field can be used to select only the service agreements that contain the desired tasks.

Example: To post all your Clean and Checks first, select the appropriate code and post. Later on in the month come back to this screen and post again leaving this field blank to get all the remaining tasks posted.

Customer

This field can be used to post dispatches for a specific customer. This can be very helpful to post an upcoming service agreement dispatch when a customer calls in for service so you can take care of both items in a single trip.

Example: A customer calls in to report a problem. When you recall the customer on the Qualification screen you notice the customer has a next service date on their service agreement set to next month. Rather than fixing the problem today and then having to go out again next month, you can use this screen to post the service agreement dispatch. When you do this, check the Pause for Each Agreement box. This will allow you to enter the details of the service call in the dispatch created by the agreement.

Pause for Each Agreement

Check this field to view each agreement before creating the dispatch.  This also allows each dispatch to be created, skipped, or all posting to be aborted. This is generally not recommended if you are posting a large number of service agreements.

If Pause For Each Agreement was selected the following screen will be displayed when the OK button is clicked.

After reviewing the dispatch you can change the promised data/time and enter any notes you would like to appear in the notes of the dispatch. Click one of the following buttons when you are done.

Post:  Click this button to create the dispatch that is currently displayed.

Skip:  Click this button if you do not want to post the currently displayed dispatch.  This does not prevent this dispatch from being created at another time.

Abort:  Click this button to stop viewing service agreement dispatches and exit the screen.  This will not affect any dispatches that have already posted.
